Early Intervention Intake Specialist

Intro:

Do you have a desire to help families access services for their infants and toddlers with special needs?

The Early Intervention Intake Specialist 
supports families getting started with the process of evaluation for Early Intervention Services by being the first point of contact. This person will initiate contact and work with families to complete the initial paperwork and connect them with the Evaluator.

JOB RESPONSIBILITIES:

  • Contact parent or caregiver to schedule evaluation and intake within two working days from notification/referral for TEIS.
  • As part of initial phone contact with newly referred families, obtain information for building packet of required forms and releases, using Adobe Acrobat Reader.  
  • Ensure all forms/release packets are sent to families and their assigned evaluator prior to the evaluation. 
  • Assist with scheduling as requested by supervisor.  This will include: 
    • Scheduling eligibility evaluations to be completed within 14 business days of initial referral. 
    • Scheduling annual evaluations to be completed within 30 days of initial referral. 
    • Regular communication with lead and/or frontline evaluators to ensure knowledge of schedules and availability.  
    • Send out evaluation reminders to families and ensure that any family who cancels or postpones their child's evaluation is rescheduled for completion within 14-business days of initial referral. 
    •  Attempt to contact the family two times, at various times of the day, on two different days documenting all contacts in the State data system.  If unsuccessful, notify the TEIS point of entry office.  All attempts must be documented in the contact log within the child’s electronic record.
  • Develop a strong knowledge of the TEIS evaluation process to answer questions from families about evaluations, to include hearing and vision screenings of children and explain timelines to families in accordance with Part C of IDEA and federal and state regulations regarding the TEIS intake procedures.
  • Enter intake information in the State data system.
  • All actions and contact must be documented in the contact log within the child’s electronic record in the State data system. 

 

 

 


Qualifications:

QUALIFICATIONS: 

  • Must hold a bachelor’s degree in early childhood special education, early childhood education, child and family studies (child development), early intervention, or related field. 
  • Experience working with families and providing educational or human services. 
  • At least 2 years’ experience in an administrative capacity with non-profit, school or government experience preferred and strong data management skills.
  • Demonstrated administrative ability including thorough knowledge of Microsoft Office products (Word, Excel, and PowerPoint.)
  • Strong communication skills - Be kind, courteous and professional in relations with families.
  • Knowledge of administrative procedures and systems such as managing files, designing forms, and other office procedures.
  • Strong computer skills including use of scheduling software and Adobe.
  • Excellent collaboration and team interaction skills.
  • Attention to detail, especially regarding data & reporting processes.
